Opportunity snapshot

UK Invoice Generator with a Late Payment Calculator is a free tool for UK sole traders, freelancers and small businesses. You fill in an invoice, it works out the VAT and the due date, it checks the invoice against the GOV.UK list of what must be on it, and it calculates the interest and fixed charge a late payer owes you. It is built, tested and live at readytocalculate.com/uk-invoice-generator, as a content experiment first.

Verdict: 🟑 HOLD AS A BUSINESS, SHIP AS A FREE CONTENT TOOL. The demand for invoice templates and generators is large, but the head terms are owned by SumUp, Xero, Wise, Canva and Adobe, and most template searches are falling. A small slice is winnable: sole trader, self-employed and UK generator terms, roughly 4,000 to 5,000 searches a month. That is a tool worth shipping for traffic, not a product worth building a company around.

Executive summary

FACT: the rules the tool applies come from GOV.UK. An invoice must carry a unique number, the seller’s name, address and contact information, the customer’s name and address, a description, the supply date, the invoice date, the amounts, any VAT and the total owed. Statutory interest between businesses is 8% plus the Bank of England Bank Rate, which was 3.75% when the Bank published its 17 September 2026 decision. A fixed recovery sum of £40, £70 or £100 can be added depending on the size of the debt. VAT registration is required above £90,000 of taxable turnover.

SIGNAL: keyword research on 14 October 2026 found large but mostly declining demand. Free invoice generator 110,000 a month (up 40%), online invoice generator 33,100 (down 49%), invoice template Google Docs 18,100, simple invoice template 9,900, invoice maker free 8,100, invoice template UK 6,600 (down 33%), freelance invoice template 4,400 (down 57%), self employed invoice template 1,300 (down 47%), invoice generator UK 1,000, sole trader invoice template 880. Generator long-tails such as “sole trader invoice generator” and “CIS invoice generator” returned zero.

SIGNAL: a check of UK Google results the same day showed why the head terms are closed. “Invoice template UK” and “simple invoice template” are filled by SumUp, Wise, Xero, Crunch, Zervant, Microsoft, Canva and Adobe. The openings are narrower: Pinterest ranks twice for “self employed invoice template”, Facebook and small accountancy sites rank for “sole trader invoice template”, and two small sites sit at positions 5 and 8 for “invoice generator UK”.

ASSUMPTION: a tool that tells you what your invoice is missing and what a late payer owes you is more useful than a blank template, and can earn a place in those narrower results. That is untested.

This idea came out of a review-mining run, not a hunch. Complaints in 789 one-star and two-star WordPress plugin reviews pointed at invoicing, client portals and silent failures. The other two candidates, a form and checkout monitor and a client portal, failed the search-demand test. Invoices passed it, narrowly.

The problem: incomplete invoices and late payments

An invoice is the document that gets a freelancer paid, and most people start from a blank template and hope. GOV.UK sets a minimum list of contents, and it is longer for a VAT-registered business: a VAT number, the VAT shown separately, and more detail on each line. A sole trader using a business name must also give an address where legal documents can be delivered. A missing item does not stop the invoice being sent, but it gives a slow payer a reason to delay.

The second problem is what happens when payment does not arrive. If no payment date was agreed, GOV.UK says the payment is late 30 days after the customer gets the invoice or the service is delivered, whichever is later. Between businesses you can claim statutory interest and a fixed recovery sum, but the arithmetic is awkward, and most invoice tools do not do it.

The tool

The generator lives at readytocalculate.com/uk-invoice-generator. It takes up to four invoice lines with a VAT rate each, works out the subtotal, VAT and total, and shows the due date from your payment terms. A checklist names every required item you have left out for your business type. A second block takes the days paid late and the Bank Rate and returns the daily interest, the interest owed, the fixed recovery sum and the total.

Everything runs in the browser. There are no accounts, nothing is stored or uploaded by the calculator, and the printable invoice opens in a new window for saving as a PDF.

With the default invoice, 10 hours at £50 and one item at £120 with no VAT, the total is £620. Paid 30 days late at a Bank Rate of 3.75%, it owes £5.99 in interest plus the £40 fixed sum, £45.99 in total.

ASSUMPTION: the tool is a planning estimate, not legal or tax advice. It tests that fields are filled in, not that they are correct, and the Bank Rate default must be updated at each Bank of England decision (the next is due on 5 November 2026).

The opportunity and the gap

There is little gap in making an invoice. The possible wedge is narrower:

  • a checklist that changes with your business type (sole trader, limited company, VAT registered), built from the GOV.UK lists;
  • a late payment calculator with the statutory rate, the Bank Rate you can edit, and the fixed sum by debt size, none of which the pages read in this research offered;
  • no account, nothing stored by the calculator, and a stated method for VAT rounding;
  • pages aimed at the terms where small sites and social profiles currently rank: sole trader invoice template, self employed invoice template and invoice generator UK.

None of these is a moat. Larger sites could add the same checklist in a day.

Monetisation (hypotheses, not built)

ASSUMPTION: advertisers pay for this traffic. The keyword research shows an average cost per click of about $8.68 for “invoice generator UK”, $7.45 for “sole trader invoice template” and $5.17 for “self employed invoice template”. That suggests affiliate or ad income is possible once there is traffic, but no traffic or revenue has been measured.

The site’s own rule is that monetisation must never change the calculator result, so any link to accounting software would sit outside the result block. No paid tier is planned, and no conversion rate, market size or revenue figure has been invented for this report.

MVP

Built already

  • Invoice generator with VAT per line, due date, a requirements checklist and a late payment calculator.
  • A test suite: 23 cases, including VAT rounding, the £40, £70 and £100 boundaries, leap-year due dates and empty or absurd inputs.
  • Page copy with every figure traced to a captured GOV.UK or Bank of England page.

DON’T BUILD YET

  • Accounts, saved invoices, client lists or recurring invoices.
  • Payment links, bank connections or e-invoicing.
  • Making Tax Digital features, CIS deductions, discounts or foreign currency.
  • Separate pages for every trade (photographer, builder, consultant). Their search volumes are small, and they wait until the main page shows it can be indexed and ranked.

Risks

  • The head terms are held by large brands, and most template searches are declining.
  • Invoice searches may be absorbed by AI answers, as the drop in related searches suggests.
  • The Bank Rate default goes stale at each Bank of England decision and needs manual updating.
  • The GOV.UK wording does not say which date’s Bank Rate applies to a debt, so the page tells readers to check before sending a demand.
  • Tax and legal content carries a trust cost if it is wrong, so the page states its limits.
  • The host sites have indexing problems of their own, so ranking may be slow regardless of quality.

Kill criteria and 30-day validation

Search traffic takes weeks, not days, so this test runs over 30 days. The thresholds below are proposals, not figures derived from data.

  1. Day 1: publish the tool, then this report. Submit the tool URL for indexing in Search Console.
  2. Days 2 to 14: confirm the page is indexed and note its first impressions.
  3. Days 15 to 30: track impressions, clicks and average position for invoice generator UK, sole trader invoice template and self employed invoice template.

Pass: indexed within 14 days; at least 500 impressions and 20 clicks across those terms in 30 days; an average position of 30 or better for at least one of them.

Kill: not indexed after 21 days despite a manual request, or fewer than 100 impressions in 30 days. If killed, leave the tool up and build nothing further around it.

Founder fit

Good fit for someone who can maintain a small tool and keep sourced figures current. Poor fit for someone who wants to compete with accounting software on features.

πŸ›  FREE AI BUILD PROMPT

You are a senior front-end engineer. Build a UK invoice generator as a single self-contained page in plain HTML and vanilla JavaScript.

PRODUCT PRINCIPLE
One job: turn invoice details into a total, check the invoice against the GOV.UK required contents, and calculate what a late payer owes. It is a planning estimate, never legal or tax advice. Say so on the page.

INPUTS
Business type (sole trader or limited company), VAT registered (yes or no), seller name, address, contact details and VAT number, customer name and address, invoice number, invoice date, supply date, payment terms (0, 7, 14, 30 or 60 days), up to four lines (description, quantity, unit price before VAT, VAT rate 20, 5 or 0), days paid late, Bank of England Bank Rate.

RULES (check each against the current GOV.UK page before you ship)
1. Line net = quantity times price, rounded to the nearest penny. Line VAT = net times rate, rounded to the nearest penny, then summed (HMRC VAT Notice 700 section 17.5.1). Do not round the total down.
2. Due date = invoice date plus payment terms, in UTC so daylight saving cannot move it.
3. Statutory interest = total times (8 plus Bank Rate) over 100, divided by 365, times days late. It applies between businesses, and not where a contract sets another rate.
4. Fixed recovery sum, once per payment, only when days late is above zero: up to 999.99 gives 40, 1,000 to 9,999.99 gives 70, 10,000 or more gives 100.
5. Checklist: invoice number, seller name, address and contact details, customer name and address, invoice date, supply date, a description on a line with a charge, a total above zero, and for VAT registered sellers a VAT number. Test that fields are filled in, not that they are correct.

PRIVACY
Run entirely in the browser. No network calls, no storage, no analytics on field contents.

TESTS
Write test cases first and compute the expected values by hand from the rules, never from your own code. Cover VAT rounding per line, both sides of each fixed-sum boundary, month, year and leap-day due dates, empty fields, zero, a negative quantity and an absurdly large price.

DO NOT BUILD YET
Accounts, saved invoices, payment links, Making Tax Digital, CIS, discounts, foreign currency, a PDF library.

Idea #008/100: a UK invoice generator with a late payment calculator.

Invoice generator searches run to 110,000 a month, but the UK head terms sit with SumUp, Wise and Xero, and most template searches are falling. The open question is whether a checklist and a statutory-interest calculator can earn a place in the narrower sole trader and self-employed results. Score 52/100, verdict: ship as a free content tool, do not build a business around it.

Research date: 14 October 2026. Keyword volumes come from KWS Everywhere bulk analysis runs on that date; the country setting was not recorded, so treat the figures as indicative and not UK-only. The Google result check used the UK version of Google through a proxy and was run once. Several competitor pages (Wise, OnlineInvoices) render client-side and could not be read, so their features and pricing are marked not captured. The 25-candidate screen used in earlier reports was not run for this idea. No conversion rate, market size or revenue forecast has been invented.
