Pennymoss Privacy Policy

Last updated: 19 October 2026

Pennymoss (“the app”) is a point-of-sale and stock program for Windows, published by Jim Ross (cybertrickz.info) (“we”, “us”). This policy explains what happens to your information when you use the app.

The short version

The app works entirely on your own computer. We do not collect, receive, store or sell any of your information, and the app does not send your data anywhere.

Information you enter into the app

Everything you enter (products, prices, sales, customers and their notes, tags, birthdays and other dates, custom details, households, loyalty points, store credit and gift cards, coupons, quotes, orders and deposits, feedback you type in, the messages you have opened for customers, suppliers, expenses, staff user names and PINs, shop details) is saved in a database file on your own computer, in the app’s data folder. We have no access to it. It is not uploaded to us or to any third party, and there is no cloud copy.

Because the data lives only on your computer, you are responsible for backing it up. The app has a Backup function that saves a copy to a location you choose. If you lose or reset your computer without a backup, we cannot recover your data.

The app can also make backup copies by itself, every day or week, into a folder you choose (for example a USB drive or a OneDrive or Dropbox folder). These copies are made by the app on your computer and go only where you tell them to. If you choose a folder that a cloud service syncs, that service’s own privacy policy applies to the copies.

Staff PINs are stored in the database in scrambled (hashed) form, not as readable text.

For your own customers, the app helps you keep to privacy laws such as the UK and EU GDPR. Each customer can be marked as having agreed, or not agreed, to receive offers and reminders (with the date and who recorded it), and campaigns skip customers who said no. From a customer’s page you can save a file with all the information the app holds about that customer (to answer a data request) and you can erase the customer, which removes their name, contact details, notes, tags, messages and feedback. Past sales stay in your records without a name, because shops usually have to keep their sales records. These tools run on your computer only; nothing is sent to us.

If you enter personal information about your own customers or suppliers (such as names, phone numbers or email addresses), you are the one who holds and controls that information, and you are responsible for handling it in line with the privacy laws that apply to your business.

Licensing and the computer code

The app needs a license key for each computer. To request one, the app shows a computer code: a short code calculated from your Windows installation. It does not contain your name, files or any information about what you use the app for, and the Windows identifier it comes from is scrambled so it cannot be read back from the code.

The code is shared with us only if you choose to send it, for example by pressing “Email us this code”, which opens your own email program with a pre-filled message that you can read, change or cancel before sending. We use the code and the shop name you give us only to issue and keep a record of your license and to answer your support requests.

The license key is checked on your computer. The app does not contact a server to check it.

Internet use

The app does not connect to the internet by itself. It has no advertising, no analytics, no tracking and no automatic updates.

A few buttons open something outside the app, and only when you press them:

  • “Email us” opens your email program, and the “Powered by” link opens a website in your web browser.
  • The customer message buttons (“WhatsApp” and “Email”, on receipts and on a customer’s page) open WhatsApp (in your web browser or the WhatsApp desktop app) or your email program with a ready-written message. The message can contain the customer’s first name, your shop’s name and, for a receipt or quote, the items and total. You can edit the wording of every message. The app keeps a record on your computer of which message you opened for whom and when, so you can see your history, but it never sees whether or what you sent. The app does not send it: you read it and press send yourself. If you do send it, it travels through WhatsApp or your email provider, whose own privacy policies apply to it. We never see it.

Anything that happens after one of these buttons opens another program is governed by that program’s or website’s own policy.

Children

The app is a business tool and is not directed at children.

Changes to this policy

If we change how the app handles information, we will update this page and the date at the top.
